Criteria: Based on education and experience as specified below.
Job Requirements: Assists the Special Events Coordinator with budget issues, projections and programs. Prepares purchase order requests; sets up new vendors in JD Edwards. Prepares and submits deposits for Fair activities and other activities. Manages archived documents. Performs general administrative tasks. Composes and types correspondence, memos, contracts and reports requested by the manager and other personnel as assigned. Distributes mail and maintains inventory of office supplies. Serves as a central source of information concerning the Fair, its facility and activities. Maintains a rapport with other County departments, board members and volunteers. Answers the phone, greets visitors, answers questions and/or directs them to the appropriate source for assistance. Responds to requests for information. Enters, stores and retrieves data using Windows based systems for the preparation of reports and information dissemination. Receives and processes reservations for Fairground Facilities. Generates new rentals. Notifies board members of meetings and makes necessary arrangements. Records board meetings and types minutes. Organizes, recruits and manages vendors for the Fair. Develops promotional material and creates registration forms for non-fair activities.
Minimum Qualifications: High School diploma or equivalent required. Associates degree in Business Administration or related field preferred. Clerical experience in a public contact environment. Excellent communication and customer service skills both verbally and in writing. Ability to operate standard equipment including computer, fax machine, calculator, copier and telephone. Working knowledge of Microsoft Office package preferred. English and grammar competency. Ability to establish and maintain effective working relationships with clients, the general public, governmental officials, supervisors and co-workers.
Any equivalent combination of related education and experience may be substituted for the education and experience requirements above. Ability to perform the essential functions of the job.
